A company wants a private tour for 25 people on a Thursday. Emails go back and forth about the date, the price and the invoice address, and meanwhile the open tour at the same time keeps selling.

The rota is in one document and the bookings in another. A guide finds out on Friday evening that she has Saturday's first tour.

Departures and groups

Places on departures, one price for private groups

Open tours get a number of places per departure and their own prices for adults, children and students. Private groups and company tours are a separate tour with one price per booking, so the group has the guide to itself.

Guides see their tour, their guests and their shift

The day's list shows every departure with participants, comments and payment status, and you choose which guide takes which tour. If the meeting point moves, you send an email or text to everyone booked on that departure.

Payment

Tourists pay up front, companies get an invoice

Guests pay by Swish or card when they book, and the money goes to your own Stripe account. You invoice the company tour from Denira, and the company pays on a page online, with reminders if payment is late.

Common questions

Can the same tour be sold as an open departure and as a private group?

Yes, as two experiences. The open one has places per departure and the private one a price per booking. You assign a guide to each booking in the day's list.

Can international visitors book in English?

Yes. The booking is in Swedish and English, and guests switch language themselves. You write the tour's name and description in both. Other languages aren't available yet.

Can guests add coffee or lunch?

Yes, as extras in the booking. If there's only a set number, say ten lunches, you give the extra a stock count.

Is a tour cancelled automatically if too few people book?

No. You decide whether the departure goes ahead. If you cancel it, you close the time, message the guests and refund each booking on its own.
